The renewal problem
Renewal dates are scattered across vendor emails, contract PDFs and the memory of whoever signed the order. By the time someone notices, the notice period for cancelling or reducing has often passed, and you are paying for another term at last year's quantity.
How renewal tracking works in LicenseSphere 360
- Every license record carries a renewal date, vendor, seat count, cost and purchase order or contract reference fields.
- Alerts appear in the app at 30 days and 60 days before renewal and when a license has expired.
- Optionally, alerts are also posted to Slack or Microsoft Teams through incoming webhooks that you configure.
- Dashboards show what is coming up so procurement and IT see the same list.
- The licenses list exports to CSV, for example to share upcoming renewals with finance.
Using the 60-day window well
Sixty days is long enough to do useful work. In that window, run the directory sync to see which seats are flagged idle, ask owners to confirm their seat counts, and check whether the notice period in the contract is shorter than the time you have left. By the 30-day alert you should know what quantity you will renew, and who approves it.
The expired alert is the safety net: it tells you a license has passed its end date so you can renew, replace or retire it deliberately.
What to record on every license
None of these fields is exotic. The value comes from having them in one list that finance, procurement and IT all read, and from alerts that arrive early enough to act on.
- The vendor and product, and who in your organisation owns the relationship.
- The number of seats purchased and the number currently allocated.
- The cost, so the renewal conversation starts with real numbers.
- The renewal date, and the notice period you noted in the contract.
- A purchase order or contract reference so the paperwork can be found in seconds.
A tidy record is a cheap audit
Entering a purchase order or contract reference at renewal time takes a minute, and it means the paperwork can be found later.
