Google Workspace license management and idle seat review
Google Workspace is billed per user, so every account that no longer needs a seat is money spent for nothing. LicenseSphere 360 records your Workspace licenses next to everything else you track and uses Admin Directory sign-in data to flag seats that look idle.
What you can do
- Record your Google Workspace licenses in the central inventory with seat count, cost, renewal date and purchase order or contract reference.
- Allocate seats to unique users by email.
- Connect Google Workspace (Admin Directory) using credentials you provide, encrypted at rest.
- Run the sync on demand. It reads each user's last sign-in time and disabled state and flags seats idle after 45 days without a sign-in.
- Receive renewal alerts at 30 days, 60 days and when expired, optionally in Slack through an incoming webhook.
A practical review for Workspace admins
Start with the accounts flagged idle. Typical explanations are people who have left but whose accounts were never suspended, seasonal or contract staff, and service-like accounts that rarely sign in. Check with the manager, then decide whether to suspend, archive or keep. Reclaim the seat in LicenseSphere 360 so the inventory and audit trail reflect the decision, then make the change in the Google Admin console.
Do this before the renewal date, not after. The renewal alerts give you 60 and 30 days of notice so there is still time to lower the seat count.
What it does not do
- It does not suspend, delete or modify accounts in Google Workspace.
- It does not continuously sync. Directory connections run when an administrator starts them.
- It does not measure usage of individual Google services such as Drive or Meet. The signal is last sign-in time.
Questions to ask before reclaiming a seat
- Is this person on parental leave, sabbatical or a long project where a seat will be needed again soon?
- Does the account receive mail or own shared files that must be transferred first?
- Is the account used by a script or integration that signs in rarely?
- Would reducing the seat count at renewal save more than keeping a spare in reserve?
